Terms, Cancellation and Refund Policy

This Terms, Cancellation and Refund Policy applies to tour packages and travel services booked through BookMyDestination, a brand operated by Ambraoleia Hospitality Private Limited (âBookMyDestinationâ, âweâ, âusâ or âourâ). By confirming a booking and making payment, the traveller or person making the booking (âcustomerâ, âyouâ or âyourâ) agrees to this policy.
1. Booking confirmation
A booking is confirmed only after:
- we receive the required booking amount;
- the selected hotels, transport, tickets and other services are confirmed by the relevant suppliers; and
- we issue a written booking confirmation, invoice, receipt or voucher.
A website order, payment request or payment acknowledgement alone does not guarantee hotel, transport, ferry, flight, permit, visa, attraction, activity or other service availability until the booking is confirmed in writing.
Prices displayed on the website are starting or indicative rates calculated using the selected travel date, number of travellers, room configuration and available supplier information. The final written confirmation must identify the confirmed hotel or equivalent category, transport, meal plan, included services, exclusions, applicable taxes and payment schedule. Any package marked âprice not verifiedâ, âon requestâ or âsubject to confirmationâ must be commercially reviewed and confirmed in writing before payment is accepted as confirmation of the booking.
2. Minimum non-refundable booking amount
If a confirmed booking is cancelled by the customer, the following minimum booking amount is non-refundable:
- Indian customers: âč2,000 per person; and
- International customers: US$50 per person, or its equivalent in the payment currency.
If the actual non-refundable amount already paid or committed to a hotel, airline, railway, ferry, cruise operator, visa authority, permit authority or another supplier is higher, the actual disclosed non-refundable cost will apply.
3. Standard cancellation schedule
Unless a package, fixed departure, special event or supplier displays a different cancellation condition before booking, cancellation charges will be calculated from the scheduled departure date as follows:

| 31â45 days | 35% of the eligible package amount will be refundable. The applicable minimum non-refundable booking amount and disclosed non-refundable supplier costs will remain deductible. |
| 0â30 days | No refund will be payable, and the amount paid for the booking will be forfeited, subject to applicable law. |
| No-show or unused service | No refund will be payable for a no-show or for any accommodation, transport, sightseeing, meal, ticket or other confirmed service that the customer does not use. |
Important: The refund percentages above apply only to the eligible package amount remaining after excluding non-refundable or already-utilised services. They do not require BookMyDestination to refund an amount lawfully retained by a third-party supplier under a condition disclosed before booking.
4. Supplier-specific and special booking conditions
Some services may have stricter or fully non-refundable conditions, including:
- airline and railway tickets;
- ferry and cruise reservations;
- visa and permit fees;
- safaris, attraction tickets and event tickets;
- special-event, festival and peak-season bookings;
- fixed departures and group tours;
- promotional or non-refundable hotel rates; and
- supplier deposits and services purchased specifically for the customer.
Where such conditions are clearly disclosed before payment or booking confirmation, those package-specific or supplier-specific conditions will apply to the relevant component. If no different condition is disclosed, the standard cancellation schedule in this policy will apply.
5. How to request cancellation
A cancellation request must be submitted in writing through the official email address, contact form, customer account or WhatsApp number displayed on BookMyDestination. The request should include:
- booking or quotation number;
- lead travellerâs name;
- travel dates;
- reason for cancellation; and
- the contact details used for the booking.
The effective cancellation date will be the date and time on which we receive the complete written request during our working hours. A verbal request alone will not be treated as a confirmed cancellation.
6. Cancellation or material change by BookMyDestination
If we cancel a confirmed booking for reasons within our reasonable control, the customer may choose, where reasonably available, between:
- an alternative service or package of comparable value;
- a travel credit accepted by the customer; or
- a refund of the amount received for the cancelled services.
No cancellation charge under Section 3 will be imposed when we cancel a booking for reasons within our reasonable control.
7. Events beyond reasonable control
BookMyDestination will not be responsible for failure, interruption or delay caused by events beyond its reasonable control, including natural disasters, severe weather, flood, earthquake, epidemic, pandemic, war, terrorism, civil unrest, government restriction, border closure, curfew, strike, transport disruption, airline or supplier cancellation, or closure of a destination or attraction.
In such circumstances, we will reasonably assist the customer in seeking rescheduling, travel credit or recovery from the relevant suppliers. Any refund will depend upon the amount actually recoverable from those suppliers after deduction of non-refundable costs already incurred. We will not retain any amount that a supplier returns and that is legally due to the customer.
8. Refund processing
Any approved refund will be processed only after:
- the cancellation request has been verified;
- applicable cancellation charges have been calculated;
- the relevant suppliers have completed reconciliation; and
- the refundable amount has been received or confirmed by the suppliers, where applicable.
The approved refund will normally be returned to the original payment method or through another legally permitted method agreed with the customer. Bank, card network or payment-provider processing time may apply after we initiate the refund.
9. Visa refusal, passport and travel-document issues
Visa approval is determined solely by the relevant embassy, consulate or government authority. Unless expressly agreed otherwise in writing, visa refusal, an expired or damaged passport, missing documents, immigration refusal or failure to satisfy entry requirements will be treated as cancellation by the customer. Visa fees, service charges and other non-refundable supplier costs will remain non-refundable.
10. Changes requested by the customer
A request to change travel dates, traveller names, hotels, room categories, transport, route or other confirmed services will be subject to availability and supplier approval. Any price difference, amendment fee, cancellation charge or additional supplier cost must be paid by the customer before the change is confirmed.
11. Operational changes
Weather, road conditions, ferry, flight or railway operations, permit availability, attraction closures, local transport or union rules, government directions, safety considerations or other operational circumstances may require a reasonable change to the itinerary, service sequence, travel time, transport arrangement or accommodation.
Where reasonably possible, BookMyDestination will provide the confirmed service or a suitable alternative of a comparable category or value. Any material change known before booking confirmation will be communicated to the customer. If a material change after confirmation results in an additional unavoidable cost, the customer will be informed before that additional cost is accepted or charged, wherever circumstances permit.
A minor change that does not materially reduce the overall value or purpose of the package will not by itself constitute cancellation of the complete booking. Any refund or alternative arrangement for a materially unavailable service will remain subject to supplier recovery, this policy and applicable law.
12. Customer responsibility
The customer is responsible for:
- providing correct traveller names, ages, identification and contact details;
- checking passport validity, visa requirements and destination entry conditions;
- disclosing relevant medical, dietary, accessibility or mobility requirements before confirmation; and
- following applicable laws, supplier conditions and local safety instructions.
Any cost arising from incorrect or incomplete information supplied by the customer will be payable by the customer.
13. Statutory rights
Nothing in this policy excludes or restricts any right or remedy that cannot lawfully be excluded under applicable consumer-protection law. If any provision is found to be invalid or unenforceable, the remaining provisions will continue to apply.
